Privacy Policy

This policy explains what personal data YCC Navigator (operated by Your Certified Consultant, “YCC”, “we”, “us”) collects, why, and what rights you have over it. This is a general policy template and has not been reviewed by a solicitor — if you have a specific legal question about your data, please contact us using the details below rather than relying on this page as legal advice.

What we collect

• Account details — name, email address, and password (handled by our authentication provider, Firebase; we never see or store your password ourselves) when you create a YCC Navigator account.
• Chat conversations — messages you send to the Student Assistant, and the assistant’s replies, are saved to your account so you can see your history in “My account”.
• Compliance case details — if you use the Compliance Ledger, the information you enter (name, address, email, phone, country, study details, financial readiness information) is saved against your account, along with the assessment result.
• Contact form submissions — name, email, and message, if you use the Contact page.
• Analytics — if you accept the cookie banner, Google Analytics collects anonymised usage data (pages visited, approximate location, device type), and Microsoft Clarity records how you interact with pages (clicks, scrolling, and session replays, with typed text masked). If you decline, no analytics cookies are set.

Why we collect it

To provide the course search, CV, Statement of Purpose, CAS interview practice, and compliance check services you ask for; to let you return and see your own history; to respond to contact form enquiries; and, if you consent to analytics, to understand how the site is used so we can improve it.

Who we share it with

• Anthropic (Claude API) — your chat messages and compliance case details are sent to Anthropic’s API to generate responses. See Anthropic’s privacy policy.
• Google / Firebase — we use Firebase (a Google product) for account login and to store your data securely. If you accept analytics cookies, Google Analytics also processes anonymised usage data. See Google’s privacy policy.
• Microsoft Clarity — if you accept analytics cookies, Clarity processes anonymised behaviour data to help us improve the site. See Microsoft’s privacy statement.
• Netlify — our hosting provider, which also processes contact form submissions. See Netlify’s privacy policy.

Some of these providers may process data on servers outside the UK. Where that happens, we rely on the safeguards those providers offer (such as standard contractual clauses) for international transfers.

How long we keep it

We keep your account, chat history, and compliance case data for as long as your account remains active. You can ask us to delete your account and associated data at any time using the contact details below.

Your rights

Under UK data protection law, you have the right to:

• Access the personal data we hold about you
• Ask us to correct inaccurate data
• Ask us to delete your data
• Object to or restrict certain processing
• Receive your data in a portable format
• Complain to the UK Information Commissioner’s Office (ICO) if you think we’ve mishandled your data

Cookies

We use analytics cookies only if you accept the cookie banner. Declining does not affect your ability to use the Student Assistant, Compliance Ledger, or any other part of the site — account login itself relies on essential session storage, not analytics cookies.

Children

YCC Navigator is intended for prospective university applicants and is not directed at children. If you believe a child has provided us with personal data, please contact us and we will remove it.
